A caller should know what happens next.
A call might start with a simple question, an appointment request or a detail your team needs before calling back. We define which questions the assistant can answer, which information it should collect and how the conversation reaches the right person.

Call transcript- Caller
I hand the keys back Friday. Is a regular clean enough for an empty two-bedroom apartment?
- Receptionist
For an empty home, Maple’s move-out clean is the better fit. It adds inside cupboards and skirting boards to the usual floors, bathroom and kitchen surfaces. The oven is a separate add-on. Would you like that included?
- Caller
Yes, the oven needs doing. I’m moved out by Wednesday evening.
- Receptionist
Then I’d suggest Thursday, before Friday’s handover. That puts the clean after the move, so boxes and furniture won’t get in the way. Shall I request Thursday for the move-out clean plus oven?
- Caller
Yes. Can you get it done before I return the keys at noon Friday?
- Receptionist
Thursday is the timing to ask for. The team will check the address and availability before confirming a time and quote. I won’t promise a slot they haven’t confirmed.
- Caller
Okay, request Thursday.
- Receptionist
Your request is a two-bedroom move-out clean with the oven add-on, for Thursday ahead of Friday’s noon handover. The team’s next step is to confirm the address, time and quote with you.

Your information and your call rules.
Your services, hours, approved answers and escalation rules shape the setup. Booking or other actions are included only when selected and connected to a tested process.
- Answers you approve
- Build the call answers from your current services, opening hours and approved policies. Agree how to explain anything that needs a quote, a current record or a decision from your team.
- Details your team needs
- Agree which caller details help your team act, such as the requested service, timing and reason for calling. The assistant should ask relevant questions and make clear what still needs a person to confirm.
- Actions within scope
- Keep actions within the agreed setup. Questions about a current job need a verified update from the selected source or a person. The assistant should not guess progress or completion times.
Keep a person in the process.
Your team still owns exceptions, sensitive questions and the work that requires judgment. We agree who receives a handoff and what information should accompany it. A captured request and a confirmed appointment are different outcomes.
- Incoming call
Understand why the person is calling before choosing an answer or action. A new service inquiry, an appointment change and a question about current work may need different handling.
- Approved information
Use the checked business information for routine questions. If the answer depends on missing information or staff judgment, collect the agreed context for a useful handoff.
- Named next step
Follow the selected supported action or hand the request to its owner. The caller should know what was captured, what remains unconfirmed and how the team is expected to respond.
What we need before setup.
Start with the calls you want handled, your business information, the phone arrangement, approved answers and a person responsible for handoffs. Your team identifies the questions it can answer consistently and the cases that need staff judgment. We review ordinary calls, missing information and unsuccessful handoffs before a live release, then agree how corrections reach the information owner.
- The phone arrangement and calls to handle
- Your hours and current business information
- Answers your business has approved
- Any selected action and the rules behind it
- The person responsible for handoffs and exceptions
A few things to know.
Explore all FAQsCan it answer outside opening hours?
We agree when the AI receptionist answers, including any outside-hours coverage, and what it should tell callers when a person is unavailable. The handoff plan needs a response owner and a next step for requests that cannot be resolved during the call.
Can it book appointments?
Booking can be selected when the correct calendar, availability and action rules are connected and tested. The assistant must distinguish an appointment request from a confirmed booking and avoid promising a time that has not been recorded.
What happens when it cannot answer?
Questions outside the approved scope need a clear route to your team. We agree who receives them, how staff take over, and what happens if the first person is unavailable. Any pause or transfer controls depend on the selected setup.
